  • Basis examples: territory (north, south, west), products (appliances, clothes, cosmetics).

3. Assignment of Duties

  • Define work for each job position and allocate to employees.
  • Each department under an in-charge; jobs matched with skills and competencies.

4. Establishing Authority and Reporting Relationships

  • Each individual knows from whom to take orders and to whom they are accountable.
  • Creates a hierarchical structure and helps coordination among departments.

Real-life Example

  • Twelve students are assigned to work in a school library during summer vacation to unload new books, stock shelves, and dispose of waste.
  • If each student works independently in their own way, there is confusion.
  • Grouping them, dividing the work, assigning roles, and defining who reports to whom completes the task faster and more effectively.

Key Points: Steps in the Process of Organising

  • Organising involves a series of steps to achieve a goal.
  • Work must first be identified, then divided into manageable activities to avoid duplication.
  • Similar activities are grouped into departments - this is called departmentalisation.
  • Duties are assigned based on the skills and competencies of employees.
  • Clear authority and reporting relationships form a hierarchy and enable coordination.
  • Without these steps, individuals working on their own cause confusion rather than results.
