The IF function is a built-in logical function in Excel used to conduct conditional tests on values and formulas. It evaluates whether a specified condition is met, returning one value if the condition is True and another value if it is False.

In computerised accounting, it is extensively used to automate decision-making processes, such as determining tax brackets, calculating employee bonuses, or flagging overdue accounts.

Syntax:

= IF(logical_test, value_if_true, value_if_false)

  • logical_test: The condition or comparison you want to check (e.g., whether sales exceed a target).
  • value_if_true: The text, number, or calculation that appears if the condition is met (True).
  • value_if_false: The text, number, or calculation that appears if the condition is not met (False).
Suppose an accountant wants to automatically classify whether a company branch is running at a “Profit” or a “Loss” based on its Net Profit figure. The condition is that if the Net Profit is greater than 0, it is a profit; otherwise, it is a loss.
  • The Data: Cell B2 contains the Net Profit of the Mumbai branch, which is Rs. 45,000.
  • The Formula: The accountant enters the following formula in cell C2:
    = IF (B2>0, “Profit”, “Loss”)
  • How Excel Processes It: Since the value in cell B2 (45,000) is greater than 0, the logical test is True. Excel instantly displays the word “Profit” in cell C2. If the value in cell B2 drops below 0 (e.g., Rs. 5,000), the formula will automatically change the output to “Loss”.
